Welcome! Congratulations on your admission to 2005 ICE.

There are several logistical details that will need your attention. Please look through the checklist below to make sure you have taken the necessary steps to ensure your efficient arrival and participation in the 2005 ICE program.

Checklist Details

1. Access to Argonne

Argonne is a controlled-access facility. When you visit Argonne, you must obtain permission in advance, and you need a visitor's pass to enter Argonne. Special access requirements apply for non-U.S. citizens.

In order to obtain a visitor's pass, we ask that you complete the online application form at http://www.mcs.anl.gov/ice05 NO LATER than Friday, June 3.

Upon arrival at Argonne you must present appropriate forms of ID: passport for foreign citizens, drivers license for US citizens. The visitor's pass must be picked up at Argonne's visitor reception center at the main (north) gate (or at the gate after hours and at weekends).
 

2. Travel to Argonne

Normal Taxis WILL NOT suffice. To reach Argonne from O'Hare or Midway, book a limousine AT LEAST 24 HOURS BEFORE ARRIVAL. The two limousine services are United Limousine (1-800-331-9037) and A1 Limousine (1-630-833-3788). Argonne has special rates with both companies. Note, that other taxi companies will not be able to get on site.

Please book your own economy round-trip ticket to Chicago by June 10 to avoid higher fares; O'Hare or Midway are both convenient for Argonne. Fellows are expected to attend all five days of lectures, so please plan to arrive on Sunday, July 17, and leave on Saturday, July 23.

3. Accommodation & Meals

Fellows and speakers will stay at the Argonne Guest House. Please book your room by calling the reservation desk (1-800-632-8990) no later than Friday, June 24 (the name of the block of rooms is ICE 05). See http://www.aps.anl.gov/travel/anlghhome.html for more information.

Breakfast, coffee\tea breaks and lunches will take place at the APS conference site while dinners will be at the Argonne Guest House. Please email <ice05-staff@mcs.anl.gov> no later than June 24 if you have any special dietary needs.

There will be an informal dinner on Sunday, July 17 at 7pm in the guesthouse.
 

4. Lectures

The lectures will be held in meeting room 1100/1200 at the Advanced Photon Source. There will be wireless internet access at the APS conference site and the Guest House.

5. Reimbursement of Expenses

If you qualify for partial or total support, we will collect your receipts for your economy round-trip ticket, transfers and limo or car-rental during the workshop, and mail your reimbursement to you. We will also provide a stamped and addressed envelope for any remaining receipts and return taxi trips. Please be prepared to provide us with your social security number at the workshop.

Necessary Documents:

For Airline ticket:

- ORIGINAL BOARDING PASS
- RECEIPT THAT SHOWS WHO PAID
- NAME AND ADDRESS OF WHERE TO SEND THE REIMBURSEMENT CHECK
- A SIGNED STATEMENT THAT SAYS 'I VERIFY THAT THESE REPRESENT TRUE BUSINESS TRAVEL EXPENSES, AND I WILL NOT BE REIMBURSED FOR THIS FROM ANY OTHER SOURCE.'

For limo/taxi service:
- A RECEIPT WITH THE DATE, LOCATIONS AND AMOUNT
- A RECEIPT THAT SHOWS WHO PAID (FOR LIMOS)
- THE NAME AND ADDRESS OF WHERE TO SEND THE REIMBURSEMENT CHECK

For Non-Argonne Guest House hotel stays (Some international travelers):
- A DETAILED (BREAKDOWN OF TAXES, ROOM, FOOD, ETC.)
-RECEIPT SHOWING THE DATE STAYED AND THE AMOUNT
- NAME AND ADDRESS OF WHERE TO SEND THE CHECK

Lost receipts:
